What we collect
- Contact and landlord enquiries: your name, contact details, and what you tell us in your message or about your property.
- Referrals: the referrer’s name, organisation and contact details, and information about the person being referred, such as their first name or initials, age, local authority area, current housing situation and support needs.
- Technical information: our web server records basic information such as IP addresses for security. We do not use analytics or advertising cookies (see our cookie policy).
Referral information may include details about someone’s health or immigration status. We ask referrers not to include medical records in the online form, and we collect only what we need to assess whether we can help.
Why we use it, and our lawful basis
- To reply to enquiries and assess referrals. Our lawful basis is our legitimate interests in responding to people who contact us, and taking steps at a person’s request before entering into an agreement with them.
- Where a referral includes health information or other special category data, we rely on the person’s explicit consent, which the referrer confirms on the form, or on another condition allowed by law, such as providing social care or protecting someone at risk.
- To meet our legal obligations, for example around safeguarding.
Who we share it with
We do not sell personal information. We share it only where needed, for example with the professionals involved in someone’s care or support (with their agreement), with local authorities when arranging funding or housing, with the companies that host our website and email, or where the law requires it, such as to protect someone from harm.
How long we keep it
- General enquiries: up to 12 months.
- Referrals that do not lead to a tenancy: up to 12 months.
- Where someone becomes a tenant, their records are kept in line with our tenancy records policy, usually for 6 years after the tenancy ends.
Your rights
You have the right to ask for a copy of your information, to have it corrected or deleted, to object to or restrict how we use it, and to withdraw consent at any time. To make a request, contact us using the details above. We will respond within one month.
If you are unhappy with how we have handled your information, please tell us first so we can put it right. You can also complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.
Keeping information secure
Form submissions are sent over an encrypted connection, stored in a password-protected area of our website and emailed to our team. Only staff who need the information can see it.
